We are seeking a proactive and Chief of Staff to join our team. The ideal candidate will be a highly organized, detail-oriented professional with a proven track record of providing top-tier administrative support to senior executives. As the Executive Assistant, you will work closely with the CEO, CFO, and other key leaders to ensure the smooth operation of the executive team and the broader organization.
As Chief of Staff, you will provide excellence by:
Executive Support:
Manage executive calendars and
Prioritize and organize the executive team's to-do lists, ensuring all action items are followed up and completed on time.
Anticipate the needs of senior leadership to ensure smooth day-to-day operations.
Process Improvement & Team Collaboration:
Create and refine processes to improve team efficiency and productivity.
Facilitate meetings by preparing agendas, documenting key takeaways, and following up on action items.
Coordinate cross-departmental activities and assist in project planning and execution.
Administrative & Event Management:
Plan and execute offsite events with meticulous logistical organization and attention to detail.
Develop templates and other resources to streamline administrative processes.
Cross-Functional Support:
Provide additional support to the Customer Success and Sales teams as needed to align with broader company goals.
Requirements
Do you have what it takes to be our Chief of Staff?
Consider yourself highly qualified if you have:
At least 5 years of experience as a Chief of Staff, Operations Manager or a similar role, ideally supporting senior executives in a start-up or fast-paced environment.
A Bachelor’s degree in Business Administration, Management, or a related field is preferred.
Strong organizational and time-management skills, with the ability to handle multiple priorities and meet tight deadlines.
Proficiency in Microsoft Excel, with the ability to analyze data and create reports.
Tech-savviness and comfort with using productivity and project management tools.
Exceptional written and verbal communication skills, with a keen attention to detail.
The ability to maintain professionalism and confidentiality in all interactions.
Strong interpersonal skills, with the ability to build relationships with internal and external stakeholders.
Resourcefulness and critical thinking, with the ability to solve problems independently.
Flexibility and adaptability to changing priorities and team needs.
Must be presently residing in the Philippines.
Expected Work Hours and Time Zone
You are expected to work 40 hours per week, Monday to Friday, following US business hours. Weekends are off, and flexibility to support executives during working hours in the US is required.
