JOB OVERVIEW

Job Summary
We are seeking a highly organized Marketing Operations Coordinator to support an ad agency by managing project workflows, coordinating independent contractors, and ensuring seamless communication between teams. This role requires a technically proficient individual with a strong marketing background, excellent English writing skills, and experience working with project management tools.

Key Responsibilities
1. Project Coordination & Deliverables Management
Act as the central point of contact between subject matter experts, independent contractors, and the agency team.
Oversee project timelines, deliverables, and deadlines to ensure smooth execution.
Manage and track ongoing marketing initiatives, retainer-based projects, and ad spend-related activities.

2. Calendaring & Scheduling
Maintain and update the agency’s calendar, ensuring key deadlines, meetings, and deliverables are well-organized.
Schedule client calls, teaUpgrade to see actual infoetings, and reporting updates across multiple time zones.
Ensure all stakeholders are informed of key milestones and updates.

3. Reporting & Analytics
Compile and analyze marketing performance reports, ensuring accurate data presentation.
Track UTM codes, campaign performance, and key metrics to assess the effectiveness of marketing efforts.
Present monthly reports on client progress, contractor output, and marketing performance.

4. Independent Contractor Coordination
Manage and communicate with 5+ independent contractors, ensuring task clarity and timely execution.
Assign and monitor marketing-related deliverables, ensuring quality and consistency.
Act as a liaison between contractors and the agency’s 10 active clients.

5. Marketing & Technical Proficiency
Demonstrate a solid understanding of digital marketing concepts, including UTM tracking, ad spend allocation, and campaign optimization.
Utilize project management tools to track progress and ensure operational efficiency.
Ensure marketing deliverables align with client goals and agency standards.

Preferred Qualifications & Skills
Marketing Experience – Understanding of digital marketing, campaign tracking, and reporting.
Technical Proficiency – Familiarity with UTM codes, ad spend tracking, and analytics tools.
Project Management Skills – Experience with project tracking software (e.g., Asana, Trello, ClickUp).
Excellent English Proficiency – Strong written and verbal communication skills.
Organized & Detail-Oriented – Ability to manage multiple priorities effectively.
Remote Work Experience – Comfortable working in a fully remote, fast-paced environment.
