Responsibilities of the Bilingual Executive & Personal Assistant:


Your responsibilities include:

Local Services & Household Management
Identify, hire, and coordinate with service providers, including chefs, cleaners, tutors, and personal drivers, ensuring they align with the client’s preferences and needs
Manage household services by coordinating schedules, supervising quality, and being the primary point of contact for hired professionals
Arrange and oversee health appointments for both the client and their spouse, ensuring seamless scheduling and follow-ups
Maintain comprehensive records of service providers, contracts, and important household documents for quick and easy reference
Handle payments for local services, prioritizing vendors who accept credit cards for streamlined transactions

Travel Management
Coordinate travel arrangements, including booking flights, hotels, and accommodations as needed
(Approximately 20% of travel, as the majority is handled by a travel company).
Book and manage local services such as car rentals and transportation
Secure reservations for studios and other business-related venues



Email
Management
Organize and prioritize incoming emails, ensuring a well-structured inbox
Review emails and provide a daily summary of important messages requiring action
Draft and respond to emails as needed, ensuring clear and professional communication

Calendar & Meeting Management
Schedule meetings, manage conflicts, and ensure seamless calendar operations to optimize productivity
Safeguard the calendar, ensuring strategic time management with adequate breaks and preparation before engagements
Prepare meeting agendas, research attendees, and compile comprehensive background information to facilitate productive discussions
Take detailed notes during meetings, capturing key action items, deadlines, and follow-ups to drive execution and accountability


Administrative Support
Track and prioritize tasks, ensuring all active projects are progressing efficiently
Follow up with clients, collaborators, and key stakeholders
Handle document management, including bank statements, etc.
Organize and maintain files for easy accessibility

Marketing & Analytics Support (Growth Opportunity)
Assist in gathering statistics and data to support strategic business discussions.
Conduct research and compile relevant information to aid decision-making

Specifics:


Time
Full-time position, aligned with EST (Medellín, Colombia time zone).
While in Medellín, working roughly 9 AM - 5 PM is ideal.
Must be open to working in-office a few days a week when required.
The client spends four months a year in the UK and Australia, requiring flexibility with schedules and potential adjustments to start/end times when traveling.


Qualifications:
Bilingual (Spanish & English) Executive Assistant, preferably based in Medellín, Colombia.
Must be open to working in-office a few days a week when required.
Strong orientation toward personal development and health-conscious living.
Experience as a local Assistant in Medellín is a huge plus.
Previous Executive Assistant (EA) or Personal Assistant (PA) experience, supporting executives in a similar capacity.
