Virtual Rockstar is looking for an Executive/ Administrative Assistant to join our client’s dynamic team and provide vital support to their pediatric therapy team. Responsibilities:

As the Executive/ Administrative Assistant, you will be responsible for a wide range of tasks, including administrative duties for both business and personal matters.

Scheduling & Calendar Management:
Schedule personal and family appointments to ensure the smooth running of daily life.
Organize and plan travel arrangements, including preparing detailed itineraries.
Manage and coordinate events and gatherings for both work-related and personal functions.

Personal Support:
Handle grocery shopping and manage essential shopping needs.
Coordinate and manage home services such as repairs, cleaning, etc.
Conduct gift shopping for special occasions and manage related research tasks.
Set reminders for upcoming events, appointments, and deadlines.
Support time management by helping prioritize tasks and organizing schedules.

Organizational Support:
Ensure timely follow-up and close the loop on details to keep everything running smoothly.
Assist in process documentation to improve office operations.
Provide suggestions and teach more efficient organizational strategies for both personal and work life.

Administrative Support:
Assist in maintaining and organizing online purchases.
Help manage email correspondence and organize important documents.
Perform research tasks to help with business needs and personal projects.

Preferred Tools Experience:

While experience with the following tools is preferred, it’s not a deal-breaker for the right candidate:
Google Workspace (Docs, Sheets, Gmail, etc.)
JaneApp (for scheduling and managing client appointments)
IntakeQ (for intake and forms)
QuickBooks (for financial tracking)
ADP (for payroll and HR management)

Qualifications:

Excellent organizational and time management skills.
Strong attention to detail and the ability to handle multiple tasks efficiently.
Previous experience in an administrative or executive assistant role is preferred.
Comfortable with online tools and platforms (training can be provided for specific systems).
Positive, self-motivated, and proactive in identifying solutions.
Strong communication skills, both verbal and written.
A sense of humor and a positive attitude—being part of a fun, team-driven culture is important!
