Job Title: Executive Assistant to Hatmakers Buyer Manager

Employment Type: Full-Time | Remote (Philippines-Based)

Compensation: $800 - $1,000 per month (Fixed Rate)
Payment Schedule: Bi-Weekly
Required Hours: 90 hours per 14-day period (including a 1-hour daily lunch break)
Shift: 7:00 AM US Pacific Time (California Satellite)

At American Hat Makers, we’ve been handcrafting premium-quality hats for over 50 years. We are seeking a proactive and experienced Executive Assistant to support our Buyer Manager. This role involves coordination with operations, executives, report preparation, vendor and supplier communication, CRM, and data management. The ideal candidate should take initiative, solve problems effectively, and drive resolutions independently.

Key Responsibilities:
Coordinate and follow up on purchase orders and supplier communications.
Track inventory levels and update records for stock management.
Communicate with suppliers, warehouses, and shipping providers to ensure smooth logistics.
Monitor shipments and update order statuses on e-commerce platforms.
Maintain and update product listings (stock availability, descriptions, and pricing).
Assist in quality control to ensure items meet company standards.
Resolve fulfillment or warehouse operation issues with warehouse staff, vendors, and couriers.
Conduct market research to assist in supplier negotiations and cost comparisons.
Generate reports on inventory, sales trends, and shipping performance.
Assist in budget management for purchasing activities.
Support the Buyer Manager in various administrative and operational tasks.

Qualifications:
Minimum 3 years of experience supporting executives.
Strong problem-solving abilities and attention to detail.
Proficiency in Microsoft Excel, Google Sheets, and relevant procurement software.
Excellent communication and organizational skills (both phone & email).
Ability to work independently and in a fast-paced environment.

Preferred:
Experience working with international suppliers.
Knowledge of inventory management systems.
