Company Overview:
At the Reid Group, we are a growing real estate firm closing 40-50 deals per year with an annual revenue of approximately $200,000 - $250,000. As we continue to expand, we’re seeking a dynamic Virtual Executive Assistant who can drive efficiency, improve customer service, and support our growth through innovative system building and process optimization.

Job Overview:
We are looking for a proactive and experienced Real Estate Virtual Assistant to support our executive team. In this role, you will build and refine systems and processes, manage client and vendor communications, handle contract administration, and assist in lead generation initiatives—earning bonus incentives for successful lead contributions. Your efforts will be pivotal in streamlining our operations and driving business growth.

Key Responsibilities:
Develop, implement, and refine systems and processes to enhance business efficiency.
Provide comprehensive support to the leadership team, ensuring smooth daily operations.
Customer Service & Follow-Up:
Manage client inquiries and communications via phone, email, and text.
Ensure timely follow-up and resolution of client issues, maintaining high service standards.
Contract & Administration Management:
Assist in preparing, reviewing, and accurately filling out contracts.
Maintain organized records of agreements and essential documents.
Software & Technology Utilization:
Efficiently use various software tools (e.g., CRM systems, document management, and communication platforms) to support business operations.
Stay current with emerging technologies to continuously improve our processes.
Vendor & Client Communication:
Serve as a primary point of contact for both clients and vendors, facilitating clear and effective communication.
Lead Generation (Bonus Opportunity):
Help identify and generate new leads for the company.
Receive bonus incentives for successfully converting leads into opportunities.
Required Qualifications:

Proven experience as an executive assistant or virtual assistant, preferably within the real estate industry.
Demonstrated ability to create and implement efficient systems and processes.
Strong customer service skills with a commitment to thorough follow-up.
Proficiency in using software tools and platforms for CRM, document management, and communication.
Excellent written and verbal communication skills.
Experience with contract management and administrative tasks.
Ability to work independently, manage multiple priorities, and meet deadlines.
Reliable high-speed internet connection and a dedicated home workspace.
