Bilingual Client Service & Trust Administrative Specialist

Hours: Monday - Friday, 8:30 AM - 5:30 PM (US MST)
Pay Rate: $1,500 USD per month

Role Overview:
We are seeking a Bilingual Client Service & Trust Administrative Specialist to provide high-touch client service while supporting trust officers with essential administrative tasks. This fully remote, full-time opportunity offers the right candidate potential for long-term growth.
You will act as the first point of contact for clients, particularly Spanish-speaking clients in El Paso, TX, ensuring exceptional service and smooth trust administration. This role blends client relationship management with trust administrative support, designed for a proactive individual who thrives in a fast-paced, virtual environment.
Key Responsibilities:
Client Relationship Support (60%)
- Serve as the primary point of contact for client inquiries, handling high-touch interactions via phone and
- Use the company’s VoIP phone system and
- Build and maintain strong client relationships remotely, ensuring exceptional service standards.
- Navigate challenging communication situations with professionalism, especially with diverse clients.
- Respond to routine trust-related questions regarding payments, distributions, and account status.
- Escalate complex client concerns to trust officers while independently resolving standard inquiries.
- Ensure all client communications are professional, timely, and culturally competent, particularly for Spanish-speaking clients.
Trust Administrative Support (30%)
- Assist with subsequent administrative reviews for trust accounts when no account status changes have occurred. (Initial reviews are handled by trust officers.)
- Conduct routine administrative reviews for IRA and investment management accounts.
- Maintain and update trust documentation, client records, and financial reports in CRM systems (Salesforce/Synergy).
- Support internal auditing efforts, ensuring records align with compliance standards.
- Proactively identify inefficiencies and recommend improvements in administrative processes.
Operational & Internal Support (10%)
- Coordinate scheduling, workflow, and administrative support for trust officers.
- Assist with data entry, tracking client service metrics, and suggesting areas for service improvement.
- Collaborate with multiple trust offices to maintain a consistent client experience.
- Provide Spanish translation support when needed for both internal and external communications.
- Take ownership of administrative tasks and projects, ensuring timely completion with minimal supervision.
Qualifications:
- Bilingual in Spanish & English (Required) – Strong written and verbal communication in both languages.
- Client service experience (Required) – Must have strong interpersonal skills and the ability to handle challenging client interactions.
- Experience in remote environments – Proven ability to build relationships and maintain service standards while working remotely.
- Proactive and self-motivated – Demonstrated experience in owning projects from start to finish with minimal oversight.
- Problem-solving skills – Ability to manage difficult conversations and resolve client complaints professionally.
- Strong administrative & organizational skills – Capable of handling multiple tasks and workflows simultaneously.
- Post-secondary education required – High school diploma + additional education (Associate’s or Bachelor’s preferred).
- Tech proficiency – Familiarity with Salesforce or other CRM systems is a plus.
- Continuous learner – Open to new skills, tools, and processes, demonstrating a habit of self-improvement.
- Financial & legal background check required – Screening will be conducted before hiring.
