JOB OVERVIEW

We are looking for a highly organized and proactive Executive Virtual Assistant that will support administrative tasks, project tracking, vendor coordination, and process management to streamline business operations. This role is ideal for someone who thrives in a fast-paced startup environment and is comfortable managing multiple responsibilities.

Preferably U.S. Pacific Time, part-time with potential for full-time transition.

Job duties and responsibilities:

1. Task & Project Management:
-Track progress on multiple projects, including ERP integration, vendor setups, and key company initiatives.
-Maintain and update a task checklist to ensure deadlines are met.
-Provide regular status reports (e.g., Red-Yellow-Green tracking) on task progress.
-Utilize project management software (e.g., Asana, Trello, Upgrade to see actual info, or any platform the VA is familiar with) to streamline
task tracking, collaboration, and reporting.

2. Administrative Support:
-Organize and manage executive’s daily tasks and priorities.
-Assist in setting up vendor accounts, tracking credit approvals, and gathering essential information.
-Create and maintain standard operating procedures (SOPs).

3. Data & Document Management:
-Build and maintain Excel-based time trackers and checklists.
-Ensure proper documentation of key business processes.
-Organize and update company files and records.

4. Meeting & Calendar Coordination:
-Keep track of past and upcoming meetings, ensuring follow-ups are scheduled.
-Assist in scheduling vendor and teaUpgrade to see actual infoetings.
-Basic Graphic Design Support (Optional but Preferred):
-Assist in preparing point-of-sale materials, flyers, and presentations based on existing templates.
-Work with the internal marketing team to compile and organize promotional materials.

Qualifications:

- Highly organized and able to manage multiple priorities.
- Experience with Microsoft Office (Excel, PowerPoint, Word) & Google Docs.
- Familiar with project management tools (Asana, Trello, Upgrade to see actual info).
- Strong communication skills – written and verbal.
- Self-motivated and able to work independently.
- Previous experience as an Executive Assistant or Virtual Assistant is a plus!
