JOB OVERVIEW

Designline is a thriving printing company dedicated to providing high-quality print solutions to our clients. We are seeking a detail-oriented, organized, and experienced Virtual Assistant to join our team and manage our invoicing and accounting processes. This remote position requires a proactive, reliable, and independent individual who can handle invoicing tasks efficiently and with attention to detail.

Key Responsibilities:

Invoicing Management:

Create and send invoices to clients on a timely basis using Xero.
Track invoice payments, monitor overdue accounts, and send reminders for outstanding balances.
Ensure all invoices are accurate, reflecting correct amounts, terms, and client details.
Maintain and organize invoice records for audit purposes.
Accounting Support:
Assist with the preparation of financial reports as needed.
Assist with accounts payable and receivable processes.

Client Communication:
Communicate with clients to address any questions or issues related to invoicing.
Handle queries professionally and promptly, ensuring client satisfaction.

Data Entry & Documentation:
Accurately enter billing and payment information into Xero.
Ensure all documentation is properly stored and easily accessible.
Requirements:

Experience:
A minimum of 2-3 years of experience working as a Virtual Assistant in invoicing, accounting, or bookkeeping roles.
Proficient experience with Xero, including invoicing, financial reporting, and reconciliation features.

Skills:
Strong knowledge of accounting principles, invoicing, and payment processing.
High level of attention to detail and accuracy in data entry.
Excellent organizational skills and the ability to manage multiple tasks simultaneously.
Strong written and verbal communication skills for client interaction.





Technical Requirements:
Reliable internet connection and the ability to work remotely.
Experience using cloud-based accounting software (especially Xero).
Familiarity with Gmail, Google Workspace, particularly Excel/Google Sheets.

Preferred:
Experience in the printing or creative industry is a plus.
Ability to work independently, take initiative, and meet deadlines.
