JOB OVERVIEW

*What is the job?*
You will be the assistant to an entrepreneur with multiple business ventures, philanthropic activities, and personal responsibilities. You will be responsible for keeping the CEO organized, proactively managing his communications and calendar, and also assisting him with sales and marketing.

Desired Outcomes:
If we look back in 12 months, what would have to happen for us to deem this relationship a success?

- Executive Assistant - you will have settled into the role of an Executive Assistant. You will be managing his inbox with minimal direction, responding to emails on his behalf, managing his calendar, managing projects, etc.
- Partner Outreach - You will be driving outbound prospecting of payroll bureau partners helping to get new meetings on the books every week for potential targets and partners. We will have 10 signed partners we are regularly in contact with.
- Speaking Gig Outreach - You will be driving outbound prospecting to book speaking and podcast appearances for the CEO. The CEO will have been on 24 podcasts and spoke at 12 events.

Responsibilities:
Inbox Management:
- Take initiative in managing and organizing emails, responding as needed, and prioritizing important communications.
- Draft, review, and send emails on behalf of the leadership.
- Ensure timely follow-ups on critical communications and manage correspondence efficiently.

Calendar Management:
- Manage the calendar by scheduling meetings and appointments that align with key priorities.
- Coordinate meeting logistics, prepare agendas, and ensure the leader’s time is used effectively.
- Understand priorities and assist in keeping focus on high-value activities.

Process Improvement and Automation:
- Identify inefficiencies in current processes and propose improvements.
- Take initiative to automate tasks where possible using technology.
- Work collaboratively to implement solutions that enhance productivity.

Personal Task Management:
- Assist with personal errands and requests, such as research or making purchases (e.g., ordering gifts).
- Maintain a flexible, team-oriented approach to help with various tasks as needed.
- Demonstrate reliability and a willingness to go beyond standard job duties.

CRM and Sales Support:
- Keep the CRM up to date with accurate client and lead data.
- Send follow up emails and sales collateral to potential customers.
- Send follow up notes and fulfill requests from potential customers.
- Collaborate with the CEO to manage customer relationships and track activities.
- Generate reports and provide summaries for review.
