The company you’ll be working with is GrumpyHare, a premier hosting platform for Real Estate Investors and Agents.
We recently launched a Done-For-You (DFY) service, and we’re looking for a highly organized and capable Executive Assistant / Project Manager to work closely with our DFY Manager and ensure smooth and efficient operations.
Position Overview
As the Executive Assistant / Project Manager, you’ll be the right-hand support to our DFY Manager. From managing schedules and coordinating tasks to ensuring quality standards, you’ll play a critical role in driving the success of our DFY team and delivering an exceptional experience to our clients.
Key Responsibilities:

- Scheduling: Organize and maintain the DFY Manager’s calendar, prioritizing deadlines, meetings, and appointments.
- Meeting Notes & Action Items: Take detailed notes, summarize key takeaways, and ensure follow-ups are executed.
- Task & Project Coordination: Assign, track, and follow up on tasks using
- Client Communication: Assist with client inquiries, maintain professional correspondence, and ensure timely updates.
- File & Document Management: Organize and maintain files for quick and easy access in Google Drive and other tools.
- Tool & Workflow Management: Utilize
- Quality Control: Review deliverables to ensure they meet high standards before being sent to clients.
- Problem Solving: Identify issues, provide solutions, and proactively address challenges to keep projects on track.
What We’re Looking For:
- Experience: 4+ years in administration, project management, and operations. Experience in real estate or SEO services is a plus.
- Organizational Mastery: Strong attention to detail, ability to manage multiple tasks, and excellent time management.
- Tech-Savvy: Proficiency in
- Communication Pro: Excellent written and verbal skills with a proactive and professional approach.
- Independent & Collaborative: Self-motivated with the ability to work both independently and as part of a team.
- Team Player: A positive and solution-oriented attitude, with a commitment to contributing to team success.

Position Details:
- Schedule: Monday - Friday, 8 AM - 5 PM EST (1-hour unpaid lunch)
- Employment Type: Full-Time | Remote
