About the Role

I run multiple companies in the Mergers & Acquisitions (M&A) and Private Equity space, which means my days are filled with emails, meetings, and endless tasks that require attention. I need an Executive Assistant who can be my brain—managing my communications, structuring my calendar, organizing key action items, and keeping me accountable so I can focus on the high-level work.

If you love building systems, streamlining processes, and making a high-level executive more effective, this is the role for you.

What You’ll Be Doing (Key Responsibilities)
???? Inbox & Communication Management:

Organize and prioritize my inbox (mainly Gmail)
Draft, respond, and filter emails to ensure nothing slips through the cracks
Keep track of critical conversations and follow-ups
???? Calendar & Task Management:

Schedule meetings, prioritize my calendar, and ensure I show up where I need to be
Input and track action items after meetings so nothing is forgotten
Set reminders and accountability structures so things actually get done
???? Meeting & Note Organization:

Join calls with me, take notes, and turn them into actionable steps
Use Fireflies, Notion, or other tools to summarize and organize key points
Ensure next steps are properly scheduled in my to-do list or calendar
???? Process Improvement & Automation:

Develop SOPs (Standard Operating Procedures) for repetitive tasks
Identify opportunities to bring in automation & AI to streamline operations
Suggest better tools or workflows to improve efficiency
???? Light Personal Assistance:

Help organize occasional personal events or reminders
Assist in online purchases or coordinating personal orders
Keep my personal and professional worlds running smoothly
What I’m Looking For (Ideal Candidate)
? A Master of Organization: You thrive on structure, prioritization, and making sense of messy workflows.
? Proactive & Self-Sufficient: I’m not great at onboarding, so you need to hit the ground running and figure things out.
? Excellent Communicator: You’re an over-communicator who ensures I know what’s important (and what’s not).
? M&A/Private Equity Knowledge (Nice to Have): Experience supporting executives in high-paced financial, investment, or M&A spaces is a bonus.
? Process & Tech-Savvy: You love creating systems, documenting SOPs, and using automation tools like Notion, Slack, Google Suite, or AI tools.

Tools You Should Be Comfortable With (or Quick to Learn)
???? Primary tools we use:

Notion (for organization & notes)
Google Suite (Gmail, Calendar, Drive)
WhatsApp & Slack (for communication)
Fireflies (for meeting notes & transcriptions)
???? Bonus if you have experience with:

AI-powered tools to improve efficiency
Task & workflow automation (Zapier, ClickUp, etc.)
