JOB OVERVIEW

Are you a detail-oriented, organized, and creative individual with a passion for event management? Sips & Sparks, a growing speed dating and community-focused event company, is seeking an Administrative Assistant to support our team in managing the behind-the-scenes details that bring our events to life!

What You’ll Do:
Your role will involve managing recurring daily and weekly tasks to ensure our events run smoothly and stay on track. Key responsibilities include:

Event Management Tasks:
Create Eventbrite events and maintain our schedule of events.
Must be able to create Eventbrite graphics on Canva for each event.

Email
venue partners.
Coordinate with event hosts to determine who will be working which events.
Share Facebook events.
Manage paid social media ads through Eventbrite.
Keep the Eventbrite email subscriber lists and master spreadsheet organized with up to date info regularly.
Create emails to send to applicable subscriber lists about upcoming events.

Marketing & Communication:
Update flyers using Canva for new events and ensure formatting consistency.
Create weekly email newsletters to keep subscribers informed.
Post all new events on Eventbrite, meticulously replicating prior event formatting.

Monitoring & Maintenance:
Check if new ad campaigns are needed based on attendance numbers.
Regularly check the email inbox and action items promptly.
Track and manage Google Drive venue content to ensure we have enough promotional material ready to go.

To succeed in this role, you should have:
Prior experience with Eventbrite and general event management.
Strong proficiency in Canva for flyer updates and occasional social media graphics.
Meticulous attention to detail, especially when keeping records of venue communications and prior event details.
Fluency in English, both written and verbal.
Exceptional organizational skills and the ability to maintain accurate, up-to-date records.
A proactive mindset for scheduling and monitoring campaign effectiveness.
