Job Overview:
As an Administrative Assistant, you will play a crucial role in managing communications, scheduling, financial tasks, and social media interactions. You will be responsible for ensuring smooth day-to-day operations, supporting customer service, and assisting with administrative duties to enhance productivity.
Key Responsibilities:
* Answer incoming calls and schedule leads promptly and efficiently.
* Manage QuickBooks, follow up on payments, and handle financial transactions.
* Post pictures of new projects on social media platforms to engage customers.
* Respond to customer reviews on various platforms professionally and promptly.
* Manage
* Order finished materials online and ensure timely delivery.
* Create templates for estimates and draft detailed project estimates.
* Monitor platforms such as Nextdoor, Houzz, etc., to identify potential leads.
* Organize and oversee stage payments for various projects.
* Manage payroll processing and ensure timely disbursements.
Mandatory Skills & Requirements:
* Minimum of 2 years of experience in customer service or administrative support.
* Proficiency in word processing software and QuickBooks.
* Strong time management and organizational skills.
* Ability to multitask and prioritize tasks effectively.
* Excellent written and verbal communication skills.
* High school diploma required; additional experience as an Administrative Assistant or Secretary is a plus
