We are seeking a highly organized and detail-oriented Virtual Assistant to join our team and support multiple brands. This role is ideal for someone who excels in multitasking, has exceptional communication skills, and thrives in a fast-paced environment. The ideal candidate will manage customer service, logistics, reporting, calendar management, and brand strategy while maintaining professionalism and confidentiality.
Responsibilities:
Customer Service & Operations:
Respond to and troubleshoot customer inquiries professionally across multiple brands.
Create and implement best practices for tracking and documenting customer service issues.
Process RTS (return-to-sender) items and ensure proper handling.
File and track UPS claims to ensure reimbursements for reported issues.
Research and provide supporting documentation for customer chargebacks.
Inventory & Logistics:
Compare inventory numbers to ensure accuracy and flag discrepancies.
Monitor stock levels and notify when items are low or reorders are needed.
Reporting & Analysis:
Pull reports from platforms like Klaviyo and Postscript.
Create simplified and actionable reports summarizing key data for review.
Track loss prevention trends and provide solutions to mitigate them.
Social Media & Marketing Support:
Review and assess social strategies from brand social media managers.
Research social media trends and provide weekly ideas for reels and content.
Develop
Meeting & Schedule Management:
Review meeting recaps and create actionable to-do lists.
Manage calendars, schedule tasks, and ensure deadlines are met.
Conduct 30-minute review calls twice weekly to align on priorities.
Client & Brand Research:
Understand client niches and their target audiences.
Research and identify potential brands for collaborations that align with clients’ values and goals.
Required Skills and Qualifications:
Experience:
Minimum 2 years as a Virtual Assistant, Administrative Support, or similar role.
Background in customer service and logistics preferred.
Familiarity with e-commerce, inventory management, and marketing strategies.
Technical Skills:
Proficiency in platforms like Klaviyo, Postscript, Gmail, Google Workspace, and project management tools such as Monday and Notion.
Knowledge of social media trends and analytics.
Experience with report creation and data analysis.
Soft Skills:
Strong written and verbal communication skills.
Exceptional organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively.
Trustworthy with confidential information.
Preferred Qualifications:
Experience in influencer marketing or managing multiple brands.
Knowledge of logistics processes like UPS claims and loss prevention.
Ability to think strategically and align tasks with business goals.
