ABOUT THE ROLE:
A leading Canadian design agency is seeking a reliable and adaptable Executive Assistant to support the CEO. This focuses on admin work, content management, and general operational support. In this role, you will handle a range of responsibilities, from content compilation and marketing coordination to sales process assistance and system organization.

ABOUT YOU:
Are you a detail-oriented, self-sufficient professional with a knack for organization and a strong grasp of digital tools? This role is ideal for a proactive individual who enjoys working independently to streamline processes, assist with content management, and support the CEO in daily operations. This role is flexible hours. Experience with project management tools, content marketing, and basic design is essential.

RESPONSIBILITIES:

Executive Assistance:
-Provide executive assistance to the CEO, handling various administrative and operational tasks.
-Send and schedule emails in the CEO’s tone of voice.
-Respond to course support requests.
-Update proposals and forms for potential clients.
-Perform ad hoc tasks as required to support business growth and CEO initiatives.

Course Content and Materials:
-Update course content (videos and links).
-Update slide decks in Canva.
-Review transcripts, comments, and videos for audience insights.

Sales & Operations:
-Assist in the sales process, setting up systems and processes as needed.
-Build landing pages using Thrive Cart builder.
-Test emails and landing pages for proper links and times, etc.

Project Management & Organization:
-Use project management tools like Notion and/or Asana to organize tasks and streamline workflows.
-Organize the existing and evolving Notion database on brand content.
-Create a database of visual psychology.

Design & Creation:
-Manage design tasks using Canva and support with simple content creation when needed.
-Support content management and marketing efforts, including compiling materials for content marketing.
-Organize Canva and create templates in Canva.
-Make edits and tweaks in Canva.

Research & Innovation:
-Research using tools like ChatGPT, Perplexity, and Klee.
-Research and advice on new business platforms.

REQUIREMENTS
-2+ years of experience as a Virtual Assistant, Executive Assistant, or similar role
-Proficiency in project management tools like Notion and/or Asana.
-Experience with Canva for content creation and management.
-Some knowledge of systems such as HubSpot CRM, Slack, GSuite, and LinkedIn.
-Strong organizational skills with attention to detail and the ability to work independently.
-Familiarity with content management, digital marketing, and system organization
-Bachelor Degree or higher (summa, magna or cum laude and/or Academic Scholar from a reputable college is a plus!)

PREFERRED REQUIREMENTS
Bonus: You’ve supported a CEO before.
Bonus: You have experience using WordPress.
Bonus: You have experience using design tools like Figma.
