Job Overview:
We are seeking a proactive, self-starting, and well-spoken Office Manager/Dispatcher to join our team. The ideal candidate will have strong computer and management skills, be a self-starter but coachable, and excel in customer communication, particularly with appointment confirmations and dispatching technicians to the appropriate jobs. This is a vital role in ensuring smooth operations and exceptional service for our customers.

Key Responsibilities:

Dispatching technicians to customer locations efficiently and effectively.
Managing the schedule for the team, ensuring appointments are confirmed and attended to.
Handling customer communications, including appointment confirmations, reschedules, and follow-ups.
Maintaining customer records and ensuring that data is accurate and up-to-date.
Providing support to the team in administrative tasks.
Managing and organizing office tasks to ensure the daily operations run smoothly.
Speaking to warranty companies to submit work orders for authorization.
Creating training materials for company staff.
Acting as the main point of contact between customers and technicians.
Help with growing the company!

Qualifications:

Must be able to work from 8:00 a.m. to 5:00 p.m. Chicago, Central Time-Zone.
Strong computer skills, including proficiency in Microsoft Office and other relevant software and CRM systems.
Excellent verbal and written communication skills.
Ability to handle high-volume customer calls and dispatch with professionalism.
Highly organized with the ability to prioritize tasks.
Proactive, self-starter, and able to work independently.
Coachable and eager to learn new systems and processes.
Previous experience in a similar office management or dispatcher role is preferred.
