Job Title: Property Investment Administrator (fully remote)
Employment Type: Full-time
Working Hours: Monday to Friday, 9am to 5pm BRISBANE time
Place of work: Home
Salary: AUD 1000 per month


The Property Investment Administrator supports daily operations by managing client emails, scheduling appointments, maintaining files, and updating records in Zoho. Key tasks include preparing materials for weekly sales meetings, handling webinar registrations, and assisting with appointment bookings. The role also involves completing monthly sales reports, nurturing client relationships, and performing other administrative duties as assigned. The ideal candidate will be organized, detail-oriented, and proficient in client management and office tasks.

TASKS:
Daily:
• Answer all incoming emails to info inbox
• Draft client plans for approval by Senior PIC
• Confirm all appointments in all PICs calendars the day of the appointment
Email briefs to Senior PIC for all client appointments
• Maintain client files and all relevant trackers (this includes file notes after your calls, making notes and uploading any info after any PICs calls and as otherwise directed)
• Call and book routine appointments as per next action on file
• Draft borrowing capacity assessments for review by Operations Manager
• Save all profile form information to GoogleDrive upon receipt from client
• Update and maintain Zoho records

Weekly:
• Prepare the slides for the weekly sales meeting

For webinars:
• Import all DNB or appointment requests into Zoho and assign tasks to the appropriate person
• Call booking requests and schedule appointments if requested by the PICs
o Call and explain process
o Confirm online payment or take payment if required and send receipts
o Send and receive investor profile form and supporting documents
o Create electronic copy client files
o Schedule appointments in calendar and connect clients on Google Meet
o Prepare file for appointment including confirming if qualified

Monthly:
• Complete sales reporting

As required:
• Nurture webinar / seminar registrations in order to get them to attend - calling registrants before the webinar to get them to attend (assistance with calls if we have a high number of registrations)
• Book appointment requests if we get them outside of a webinar
• Maintain contact and update phone numbers and addresses for existing clients as required to send birthday cards, Christmas cards
• Archive do not call files if required
• ITI drill
• Unconditional drill
• All other business administration duties as tasked by the Operations Manager, the team PICs and/or the Director



Only individuals with a stable internet connection, their own laptop, a suitable home office setup, and backup power should apply, as this is a remote role.
