We are a dynamic team of 30+ licensed life insurance and mutual fund financial advisors committed to providing top-tier financial solutions to our clients. Our group thrives on professionalism, integrity, and collaboration. To support our growing operations, we are seeking a dedicated Virtual Assistant to streamline administrative processes and ensure the efficiency of our daily operations.

Responsibilities:
The Virtual Assistant will play a critical role in supporting our team by handling various administrative tasks, including but not limited to:
o Contact insurance and investment providers to follow up on pending business, policy updates, and transaction statuses.
o Act as a liaison between agents and providers, ensuring timely and accurate communication.
o Prepare client-facing and internal documents for agents, including applications, meeting summaries, prefilling forms
o Review and ensure the accuracy and compliance of all documents.
o Maintain and organize client records in a secure and systematic manner.
o Track and manage deadlines for policy renewals, client reviews, and regulatory filings.
o Coordinate emails, phone calls, and other correspondence between agents, clients, and providers.
o Schedule meetings and appointments for advisors as needed.
o Update and maintain CRM systems to ensure data accuracy.

Qualifications:
• Proven experience as a Virtual Assistant, Administrative Assistant, or similar role preferably in the financial services
industry.
• Familiarity with life insurance and mutual funds terminology and processes is highly preferred.
• Proficient in using CRM software, Google Workspace, and project management tools like Smartsheet, Slack, Adobe Acrobat
• Strong organizational and multitasking skills.
• Excellent communication skills, both written and verbal.
• Ability to work independently and meet deadlines.
• Strong computer and technical skills.
• Resourceful and solution oriented is a must.
