JOB OVERVIEW

1. Email and Calendar Management:
• Streamline administrative tasks: Offload email and calendar management to ensure the leadership team can prioritize strategic growth and high-impact activities.
• EOD Summaries: Provide comprehensive end-of-day (EOD) summaries with the next day’s schedule, highlighting key notes and objectives for each meeting.
• Proactive Communication: Review and manage all email communications, responding on behalf of the team where appropriate, and delivering a daily report of activities that require attention.

2. Client Communication:
• Client Engagement: Actively participate in customer chats across all client channels, offering timely assistance and escalating critical issues to the leadership team.
• Maintain Client Presence: Ensure seamless and effective communication with clients, embodying the company’s values of empathy, transparency, and reliability.

3. Research and Vetting:
• Client Vetting: Conduct thorough research and vetting of potential clients, preparing detailed briefs for the leadership team ahead of calls.
• Resource Allocation: Identify and resource clients who may not align with our services, maintaining positive interactions and offering alternative solutions when necessary.

4. Social Media Inbox Management:
• Inbox Organization: Manage social media inboxes precisely, ensuring all messages are tagged, prioritized, and addressed promptly.
• Communication Streamlining: Keeping social media communications streamlined and organized contributes to a consistent and professional brand presence.

5. Key Metrics Tracking:
• Performance Monitoring: Track and report key metrics, including content progress, contract status, and client satisfaction, ensuring the team is informed and aligned.
• Weekly Reports: Provide a detailed weekly client report for team review, facilitating operational adjustments and strategic decision-making as necessary.

6. One-Off Task Management:
• Task Coordination: Set up and manage a group chat (e.g., on Slack) for handling ad-hoc tasks such as appointment scheduling, invoice preparation, and team merchandise orders.
• Efficient Task Completion: Ensure all one-off tasks are completed promptly and with attention to detail.

7. Follow-Up Management:
• Meeting Follow-Ups: Review recorded meetings (e.g., using Fireflies) and manage all follow-up actions, ensuring that every outcome is tracked and addressed.
• Action-oriented: Ensure that meeting outcomes are documented and executed efficiently, driving continuous progress.

8. Social Media Management:
• Content Updates: Regularly update and maintain social media accounts, including content posting, engagement monitoring, and brand voice consistency.
• Collaborative Strategy: Work closely with the marketing team to create and schedule posts that align with the company’s overarching strategy, enhancing brand visibility and engagement.
