JOB OVERVIEW

Job Overview: We are seeking a highly organized and proactive Executive Assistant to support our executive team. This individual will play a key role in streamlining day-to-day operations, managing schedules, coordinating communications, and assisting with project execution. The ideal candidate is detail-oriented, has excellent time-management skills, and can handle confidential information with integrity and professionalism.

Key Responsibilities:

Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Serve as a primary point of contact for internal and external communications on behalf of the executive.
Prepare reports, presentations, and other materials as needed for meetings and events.
Organize and maintain files, records, and documentation to ensure easy access and confidentiality.
Oversee special projects and track deadlines, ensuring timely completion of tasks.
Coordinate logistics for executive meetings, including agendas, documentation, and follow-up on action items.
Act as a liaison between the executive team and other departments to streamline communication and ensure alignment.
Prepare expense reports, process invoices, and assist with budget management.
Anticipate the needs of the executive team and proactively provide solutions to meet them.
Conduct research, compile data, and prepare briefs for executive use.
Qualifications:

Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication skills.
High level of discretion and ability to handle sensitive information.
Strong interpersonal skills and ability to work collaboratively with colleagues.
Ability to manage multiple projects and prioritize effectively.
Preferred Skills:

Familiarity with project management tools (e.g., Asana, Trello).
