Position: Executive Assistant to the COO
Location: REMOTE
Job Type: Part-time to Full-Time
Position Summary:
The Executive Assistant will be responsible for managing the COO's calendar, coordinating travel, and handling administrative tasks that facilitate efficiency across the COO's activities. The ideal candidate is highly organized, proactive, and skilled at managing multiple priorities with discretion and professionalism.
Key Responsibilities:
- Schedule and coordinate meetings, appointments, and events for the COO, ensuring efficient time management and minimal conflicts.
- Proactively anticipate scheduling needs and maintain awareness of any changes, priorities, or special requirements.
Travel Coordination:
- Arrange and coordinate complex domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Manage last-minute changes in travel plans and ensure the COO has all necessary information and documents for each trip.
- Prepare agendas, briefing materials, and presentations for meetings.
- Record meeting notes and follow up on action items, ensuring tasks are completed and tracked.

- Coordinate internal and external communications to support the COO’s initiatives and objectives.
Project Support:
- Assist with special projects, research, and report preparation as needed, providing support for the COO’s strategic and operational goals.
- Collaborate with cross-functional teams to ensure alignment and progress on key projects.Document and File Management:
- Organize and maintain the COO’s files, documents, and records in an easily accessible and secure manner.
- Handle confidential and sensitive information with the highest level of discretion.
Qualifications:
- Bachelor’s degree or equivalent experience preferred.
- 3+ years of experience as an Executive Assistant, preferably supporting C-level executives.
- Strong organizational, project management, and problem-solving skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Ability to work independently and make sound decisions on behalf of the COO.
- Strong attention to detail and commitment to confidentiality.
