Job Summary:
We are seeking a highly organized and proactive Executive Assistant with experience in CRM management, task tracking, process development, and data enrichment. The ideal candidate will have a background in marketing and operations, as well as strong skills in process-building, task management, and ensuring the completion of various internal initiatives. This role will be pivotal in managing administrative tasks, updating systems, and ensuring key activities are completed on time.
Key Responsibilities:
*CRM Management:
Regularly update CRM systems with accurate and complete information.
Conduct data enrichment by identifying and filling in missing information for CRM contacts.
Assist in organizing and maintaining customer and lead information for better tracking and outreach.
*Task Tracking & Project Management:
Track and manage internal tasks and to-dos, ensuring deadlines are met.
Work closely with leadership to ensure all incomplete tasks are followed up on and completed efficiently.
Assist in maintaining checklists and overseeing the progress of various projects.
*Process Development:
Support the CEO/COO in building and refining internal processes for operations, marketing, and other departments.
Document and implement standardized procedures to streamline workflows and improve efficiency.
Assist in process mapping and execution of operational strategies.
*Administrative Support:
Handle daily administrative tasks such as scheduling,
Serve as a gatekeeper for key priorities, ensuring leadership’s time is optimized and focused on high-value tasks.
*Data Enrichment & Research:
Research missing or incomplete contact details for CRM data.
Enrich CRM databases by researching and inputting updated information on leads and clients.
*Marketing & Operations Support:
Provide assistance with marketing tasks such as
Collaborate with operations teams to ensure processes are followed and maintained.
*Key Qualifications:
Experience: 3+ years in a similar EA role, preferably within operations or marketing.
*Technical Skills:
Proficient with CRM systems (GoHighLevel, HubSpot, Salesforce, etc.).
Strong understanding of task management tools (Clickup, Asana, Trello,
Experience with process documentation and improvement.
*Soft Skills:
Strong organizational skills with an ability to prioritize multiple tasks and projects.
High attention to detail and a proactive problem-solver.
Excellent verbal and written communication skills.
*Preferred Experience:
Familiarity with marketing campaigns, project management, or operational frameworks.
Experience in data management and information research.
