JOB OVERVIEW

We are a U.S.-based company managing training programs worldwide. Companies send us their training requests, which we analyze to create customized project plans.

We have an immediate opening for a Company Assistant. This role requires strong organizational skills, excellent communication, and an ability to manage complex travel arrangements. A key aspect of the position is being highly detail-oriented, ensuring accuracy and thoroughness in every task.

Shift Details: This is a graveyard shift position, with core hours from 6:00 a.m. to 4:00 p.m. US Pacific Time, every day. We are an international company, so there will occasionally be work required outside of these hours. You must be available via phone, email, or text, and be responsive and flexible to work as needed beyond regular hours.

QUALIFICATIONS:

EXCEPTIONALLY SHARP, PROACTIVE, PUNCTUAL, DETAIL-ORIENTED, AND ORGANIZED
Expert in English business writing, formal communication, and speaking (minimal accent)
Strong internet skills (online research, shopping, etc.)
Expertise in Excel, Outlook, Word, and Acrobat PDF
Minimum 3 years of experience in a senior administrative role, paralegal/legal associate, proposal preparation, or similar
A "get things done" attitude, able to track tasks to completion
Ability to work under time pressure and meet deadlines

RESPONSIBILITIES INCLUDE (BUT ARE NOT LIMITED TO):

Customer communication, document organization, and summarizing requirements
Drafting formal letters, proofreading, managing email/calendar, checking, and replying to emails
Scheduling and booking complex, multi-destination travel arrangements
Assisting with hiring processes and communication with candidates
Ensuring all communication is accurately entered into the Customer Management Software
Answering phones, making calls, reminding executives of daily tasks, following up with customers, etc.
Drafting general correspondence including letters, memos, emails, and reports
Performing other tasks as required
