Position: Catering Coordinator Virtual Assistant
Location: Remote
Employment Type: Part-time (3-5 hours per week)
Job Description:
We are seeking a detail-oriented and highly organized Catering Coordinator Virtual Assistant to support our catering operations at Snoice. The ideal candidate will assist in managing administrative tasks, coordinating events, and ensuring seamless communication between clients and the team.
Key Responsibilities:
• Handle inquiries and bookings for catering services via phone,
• Maintain and update catering schedules, client information, and event details in HubSpot CRM.
• Coordinate with clients to confirm event requirements, menus, and logistics.
• Prepare and send out proposals, contracts, and invoices using Square.
• Assist in sourcing and managing relationships with vendors and suppliers.
• Ensure timely follow-up on client feedback and queries from platforms like Yelp, Google, The Wedding Wire, and The Knot.
• Support the catering team in planning and executing events, including logistics and staffing.
• Perform administrative tasks such as data entry, filing, and document management using Google Suite.
• Manage and update the company website through Squarespace.

• Network and generate leads through social media platforms including Instagram, TikTok, LinkedIn, and Pinterest.
• Assist in expanding the catering business into the corporate events space.
• Perform other related tasks as needed.
Qualifications:
• Proven experience in administrative support, event coordination, or a similar role.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Proficiency in using Google Suite and familiarity with HubSpot CRM, Square, and Squarespace.
• Ability to handle multiple tasks and prioritize effectively.
• Detail-oriented with a proactive approach to problem-solving.
• Experience in using social media platforms for networking and lead generation.
• Familiarity with review and lead platforms like Yelp, Google, The Wedding Wire, and The Knot.
• Ability to work independently and as part of a team.
• Relevant degree or career experience in Hospitality Management, Business Administration, Marketing, Communications, Event Management, or related fields.
