JOB OVERVIEW

Roles & Responsibilies

? Backup for marketing assistant when needed by posting to social media and sending newsletters.
? Review and pay contract staff invoices.
? Onboarding of new staff: create IT logins, email signatures, add to website, etc.
? Maintain contract staff PTO tracking spreadsheet.
? Track employee anniversaries and review dates.
? Manage travel arrangements
? Manage CEO email
? Manage CEO calendar
? Manage firm receipts and filing system
? Pull firm bank statements and add to filing system
? Maintain CEO accountable plan spreadsheet
? Reconcile Firm revenue from clients to ensure all payments were received
? Track and pay referral fees and agreements
? Manage firm expenses and review monthly
? Manage CEO Continuing education requirements, schedule training, track hours and certificates.
? Assist with project management of firm wide iniativies.

Technical Requirements

? Good understanding of office management and role of support staff to high level executive.

? Demonstrable ability to multi-task and adhere to deadlines.
? Well-organized with a customer-oriented approach.
? Excellent knowledge of MS Office and overall wizard with technology.
? Ability to manage projects independently. Magician at “making things happen”.
? Articulate in both written and oral communication.
? High School diploma; BS in Business or relevant field is a strong advantage.
