JOB OVERVIEW

Work Smart Renovations, a premium contracting company specializing in high-quality painting and renovation services, and Mrs. P Stitches, a bespoke bridal alterations business, are partnering to find a skilled virtual assistant who can support their administrative and marketing needs. Founded by Adam and Susanna, both businesses are driven by a commitment to excellence, customer satisfaction, and innovative approaches to client engagement.

We’re building more than businesses; we’re creating a collaborative culture that values efficiency, creativity, and personal growth. This role is ideal for a proactive, organized, and tech-savvy professional eager to contribute to the success of two unique brands.

As the shared virtual assistant, you’ll play a critical role in streamlining operations, managing customer communications, and assisting with marketing strategies across both businesses.

JOB RESPONSIBILITIES

Administrative Support:
Respond to customer inquiries via email, phone, and social media for both businesses.
Manage appointment bookings and calendars for renovation consultations and bridal fittings.
Assist with invoicing, payment tracking, and client follow-ups.
Maintain organized records for each business, ensuring seamless operations.
Improve Google profile
Set up Google and HubSpot workflows

Marketing Support:
Assist with social media accounts, including content scheduling and community engagement.
Monitor platforms like Instagram, Facebook, TikTok, and LinkedIn for engagement
Assist with paid advertising campaigns and monitor performance metrics.
Support the creation of newsletters, blogs, and promotional materials.

Customer Experience:
Ensure timely communication with clients and potential customers.
Coordinate feedback collection to improve services for both businesses.
Help develop and execute loyalty programs or referral incentives.

Specialized Tasks for Each Business:

For Work Smart Renovations:
Assist with outreach to local contractors, tradespeople, and referral partners.
Promote services such as accent wall giveaways and seasonal offers.
Communicate and coordinate virtually with on-site team members
Create painting, kitchen, and bathroom estimates using templates

For Mrs. P Stitches:
Offer alteration quotes after the client has completed the Jotform based on price list
Coordinate scheduling for bridal fittings and dress pick ups.
Support marketing for bridal events, pop-ups, or partnership opportunities.
Communicate with seamstresses and create final alterations cost.

QUALIFICATIONS
Exceptional organizational and multitasking skills.
Strong communication abilities, both written and verbal.
Familiarity with social media management tools (e.g., Hootsuite, Buffer).
Proficiency in content creation tools (e.g., Canva, Adobe Spark).
Proficiency in automation tools (e.g., Zapier, Hubspot)
Experience with CRM and scheduling platforms.
A friendly, professional demeanor and customer-focused mindset.

Hours:
Must be able to work 9-5pm EST. Estimated 20 hours a week and possibility to grow into full time based on performance and business demand.
