Job Description
We are a fast growing Australian-based digital marketing agency focused on helping Real Estate Agents scale their business by generating and nurturing leads to transform the consistency of their business, and are looking for an all-star Virtual Receptionist to support our growth!
The Virtual Receptionist position will work closely with our Head of Fulfilment to ensure that every opportunity is maximised, assisting with internal and external communication on behalf of both Generate Listings and the Clients we work closely with.
This integral position aims to create trust with our clients and their business, therefore we are looking for a go-getter who has great attention to detail, excellent written communication skills & is confident responding over live chat functionality across our entire client base to ensure that no stone is left unturned. This includes but is not limited to answering messages via the Manychat and GoHighLevel platforms through SMS,
This remote position is full-time with potential to grow within the company.

What this Job Entails
- Lead Management: Follow up on ManyChat and AI conversations using Go High Level to engage potential customers.
- Manually convert high-potential leads and nurture prospects.
- Schedule appointments and manage calendars for clients and internal teams.
- Assisting to Identify and report minor technical issues with automated messages to ensure seamless operations.
- Administrative Tasks including organising and updating Generate Listings’ internal ClickUp boards and managing contract pause/end dates to assist with retention and renewal process.
- Prepare client monthly reports on lead conversion and campaign metrics.
- Research and coordinate thoughtful client appreciation gifts.
- Monitor client finances by tracking client payments, managing invoices, and resolving discrepancies.
Compensation
- $7,000 - $10,000 per year USD (full-time)
- 100% remote position

Requirements
- At least 2 years experience within Admin, Customer service and/or PA roles
- Strong organisational skills with exceptional attention to detail.
- Outstanding written and verbal communication abilities.
- Able to think critically and exercise independent judgment and discretion
- Proactive problem solver who can anticipate and address issues effectively.
- Familiarity with tools like ManyChat, GoHighLevel, ClickUp, Stripe,
- Ability to work independently while contributing positively to a collaborative team environment.
- Confidence with sending internal and external
- Fluent English speaking and writing skills as you will represent both Generate Listings and our clients
- Self-starter -- you are comfortable working 100% remotely, managing your schedule and meeting deadlines without direct supervision
- Strong time management and organizational skills under ever-changing schedules
- Coachable -- you are excited to participate in ongoing training and constantly push yourself to get better and better
- Team player -- you are able to collaborate with a small team, ask for help when needed, and complete tasks as required
