JOB OVERVIEW

We are seeking a highly organized and experienced Virtual Office Manager to join a dynamic and fast-paced accounting team. This remote position is exclusively for candidates based in the Philippines ???????? with a preference for those with experience working with Australian accounting firms.


Key Responsibilities
Your responsibilities will include, but are not limited to:

Operational Efficiency:
Standardize procedures and streamline onboarding processes to eliminate inefficiencies.
Document and optimize office workflows, identifying automation opportunities using appropriate applications.
Collaborate with AI technologies and stay updated on industry trends to enhance office productivity.

Administrative Support
Diary management for the Director and accountants.
Assist with onboarding new clients and employees.
Coordinate client events and maintain strong client relationships.
Attend to client calls, emails, and queries, ensuring timely and professional responses.

Client and Workflow Management
Manage client onboarding processes and compliance tasks (e.g., ASIC, ATO portal).
Update and maintain workflow scheduling spreadsheets and job assignments in XPM.
Create jobs and proposals for accountants using tools like XPM and Ignition.
Handle debtor management, invoicing, and payment reminders via Xero and CAS360.

Reporting and KPI Management
Generate analytical reports and manage Key Performance Indicators (KPIs) across the organization.

Preferred Qualifications
Experience: Minimum of 3 years of relevant experience, with a preference for candidates who have worked for Australian accounting firms

Technical Skills: Proficiency in accounting and administrative tools, including XPM, Ignition, CAS360, Xero, and ClickSend.

Communication: Excellent verbal and written communication skills.
Organizational Skills: Strong multitasking abilities and attention to detail.
Tech Savvy: Familiarity with automation tools and the ability to adapt to new technologies.
