JOB OVERVIEW

About the Role:

I’m looking for a proactive, detail-oriented, and highly organized Virtual Executive Assistant to support my work in email marketing and eCommerce. You’ll help with inbox management, scheduling, research, hiring, and project organization. The ideal candidate is someone who takes initiative, prioritizes over-communication, and is eager to grow with the role.

Responsibilities:

? Manage and prioritize my inbox (responding, flagging, organizing emails).
? Schedule meetings, book calls, and send reminders.
? Assist with project management—keeping track of deadlines, organizing tasks.
? Conduct research (competitor analysis, industry trends) and summarize findings.
? Help recruit and hire new team members (sourcing, vetting, conducting interviews).
? Organize and document information in Notion.
? (Bonus) Assist with social media scheduling (LinkedIn, Instagram, YouTube).

Must-Have Skills & Experience:

?? Strong written and spoken English.
?? Prior experience as an Executive Assistant or Virtual Assistant.
?? Familiarity with Google Workspace (Gmail, Calendar, Docs, Sheets, etc.).
?? Proficiency in Notion (organizing data, creating pages, maintaining documentation).
?? Ability to conduct research and explain key takeaways clearly.
?? Understanding of email marketing concepts (so you can follow along with my work).
?? Experience with hiring and recruiting (finding, vetting, and interviewing candidates).
?? A proactive and over-communicative work style to build trust early on.

Bonus Skills (Not Required but Nice to Have):

? Familiarity with Klaviyo.
? Experience with email design and copywriting.
? Understanding of social media management (LinkedIn, Instagram, YouTube).
