JOB OVERVIEW


Position Overview
We are seeking a highly organized and tech-savvy Virtual Executive Assistant to provide comprehensive support to our founder/CEO in managing both a growing tech startup and consulting service. The ideal candidate will be an exceptional multitasker who can handle traditional EA responsibilities while proactively identifying and solving business challenges.

Core Responsibilities:

Calendar and Schedule Management
- Maintain a complex, dynamic calendar across multiple time zones
- Schedule and coordinate meetings, conferences, and travel arrangements
- Proactively manage schedule conflicts and prioritize commitments
- Send meeting reminders and follow-ups, including action items

Communication Management
- Monitor and manage email inbox, flagging priorities and drafting responses
- Handle internal and external correspondence professionally
- Maintain contact database and manage relationships with key stakeholders
- Coordinate with clients, partners, and team members

Project and Administrative Support
- Create and maintain documentation, presentations, and reports
- Track project deadlines and deliverables
- Manage expense reports and basic bookkeeping
- Coordinate with vendors and service providers
- Handle basic research tasks and data compilation

Business Development Support
- Assist with proposal preparation and client presentations
- Maintain CRM system and track business opportunities
- Help prepare materials for consulting engagements
- Support marketing efforts and social media presence

Process Improvement
- Identify opportunities to streamline operations and improve efficiency
- Implement and maintain organizational systems
- Document standard operating procedures
- Suggest and implement productivity tools and solutions

Required Qualifications
- 3+ years of experience as an Executive Assistant or Virtual Assistant
- Exceptional organizational and time management skills
- Advanced proficiency in:
- Google Workspace (Gmail, Calendar, Docs, Sheets)
- Microsoft Office Suite
- Project management tools (e.g., Asana, Trello, or similar)
- Video conferencing platforms
- CRM systems
- Strong written and verbal communication skills
- Experience working remotely and managing virtual teams
- Ability to work independently and take initiative
- Problem-solving mindset and attention to detail

Preferred Qualifications
- Experience in tech industry or consulting environment
- Knowledge of basic business operations and processes
- Familiarity with social media management
- Experience with basic graphic design tools
- Understanding of basic accounting principles
