Job Title: Virtual Executive Assistant (Remote)
We’re looking for a proactive, tech-savvy, and highly organized Virtual Executive Assistant to work directly with the founder of a fast-paced, growing company. This role is all about creating time and headspace for the executive by handling the tasks that don’t require their unique expertise — allowing them to focus on growth, vision, and leadership.
You will be the right hand to the executive — anticipating needs, managing systems, and keeping things moving smoothly behind the scenes. You’ll be expected to think critically, communicate clearly, and handle a wide range of administrative and personal tasks with precision and ownership.
What You’ll Do:
-Inbox Management – Prioritize, reply, sort, and flag important
-Calendar Control – Schedule meetings, protect focus time, confirm appointments, and prevent double-bookings
- Task Management – Help the executive stay on top of to-dos, deadlines, and key deliverables using task-tracking tools
-Build & Manage Systems – Create and maintain spreadsheets, dashboards, SOPs, and automations in Google Workspace
-Do Deep-Dive Research – Research tools, vendors, competitors, and best practices to support decision-making
-Organize the Chaos – Create order from complexity, streamline communication, and document processes
- Communicate On Their Behalf – Draft
- Handle Personal Errands – Book travel, send gifts, manage subscriptions, and support the personal side of the executive’s life
Preferred Qualifications:
Must Speak English with little to no accent and read and write proficiently
Highly experienced in Google Sheets, Docs, Calendar, and Gmail
Excellent communicator — clear, direct, and professional in writing and speech
Extremely organized, detail-oriented, and obsessed with keeping things running smoothly
A problem solver who takes initiative — you don’t wait for permission to fix inefficiencies
Tech-savvy — comfortable learning new software and figuring out how to make tools work better
Discreet and trustworthy — you’ll be handling sensitive information
Bonus: You’ve read Buy Back Your Time or are familiar with Dan Martell’s approach to delegation
