Virtual Executive Assistant / Warehouse Operations Supervisor
We’re looking for a sharp, proactive, and tech-savvy Virtual Executive Assistant to support both the day-to-day operations of our warehouse and the executive leadership of the company. This is a hybrid role combining administrative excellence with real-time operational oversight — ideal for someone who thrives in fast-paced, detail-oriented environments and is hungry to grow with a scaling business.
In this role, you’ll work closely with the executive team (the company’s Chief Operating Officer), helping manage tasks, streamline operations, and bring visibility and accountability to our warehouse teams. You’ll be responsible for monitoring warehouse activity through our camera system, tracking employee performance, updating live productivity scoreboards, and keeping operations aligned with goals.
You’ll also serve as a direct personal assistant to the executive, handling a wide range of administrative tasks — from building spreadsheets and organizing data, to following up on key projects, delegating assignments, Managing calendars,
Key Responsibilities:
-Support the executive directly with operational and administrative tasks
-Oversee and monitor warehouse staff activity via camera systems to ensure task completion and productivity
-Track and analyze team performance data in Google Sheets and other tools
-Maintain and update digital dashboards and scoreboards with live performance metrics
-Identify inefficiencies and help implement improvements in warehouse workflows
-Follow up on open tasks and ensure timelines are being met across departments
-Assist with internal documentation, project coordination, and scheduling
Requirements:
• Speaks fluent english with little to no accent
• Advanced proficiency in Microsoft Excel/ Google sheets (must demonstrate skills).
• Understanding of basic statistics and ability to use data in practical scenarios.

Ideal Candidate:
-Expert-level Google Sheets skills — comfortable building dashboards, automations, formulas, and data tracking tools
-Self-motivated, reliable, and detail-oriented — you don’t need micromanaging
-Strong organizational and communication skills
-Tech-savvy and able to learn new tools quickly
-Experience in warehouse operations, logistics, or team management is a plus
-Comfortable holding others accountable and reporting on performance
-A problem solver who enjoys bringing order to chaos and making things more efficient
