About the Role
Maui Paradise Properties is for seeking a highly organized and proactive Virtual Executive Assistant to provide high-level administrative support to our executive team. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently in a fast-paced, remote work environment.
Key Responsibilities
• Manage executives' calendars, schedule meetings, and coordinate appointments across time zones
• Handle email correspondence, draft communications, and prioritize messages for the executive team
• Prepare reports, presentations, and other business documents as needed
• Conduct research and compile data for decision-making purposes
• Assist in project management by tracking deadlines, milestones, and deliverables
• Coordinate travel arrangements, including flights, accommodations, and itineraries
• Manage confidential information with discretion and professionalism
• Provide general administrative support, such as document organization, expense tracking, and vendor coordination
• Act as a point of contact for internal and external stakeholders
• Support executives with personal tasks, as needed, to ensure seamless workflow
Requirements
• Proven experience as an Executive Assistant, Administrative Assistant, or similar role (virtual experience preferred)
• Exceptional verbal and written communication skills in English
• Proficiency in productivity tools such as Google Workspace, Microsoft Office, Slack, Zoom, and project management software (e.g., Asana, Trello)
• Strong organizational and time-management skills
• Ability to work independently, take initiative, and problem-solve effectively
• High level of professionalism, discretion, and confidentiality
• Comfortable working remotely with a reliable internet connection
Preferred Qualifications
• Experience supporting C-level executives
• Familiarity with bookkeeping or CRM software
• Background in HR, marketing, or operations is a plus
