About the Role:

What You’ll Be Doing:
Serve with a Purpose: Support one of our amazing skincare brands
Anticipate Needs: Take initiative to ensure his day runs smoothly without unnecessary interruptions.
Create and Master Systems: Develop, document, and maintain efficient processes tailored to the owners brand preferences.
Keep workflows organized and ensure continuity during emergencies.
Communicate Proactively: Ensure clarity in all tasks and verify that actions and responses are carried out without delay.
Provide Personalized Expertise: Be his second brain by managing the details that matter most to the brand owner and ensuring the standards are met.
Maintain Confidentiality: Handle sensitive information with the utmost discretion and integrity.
Ensure all personal and professional details are protected at all times.
Commit to Growth: Stay updated on new tools and systems to continuously improve processes and provide innovative solutions that enhance the brand productivity.
Requirements:
Experience with E-commerce
Experience with Shopify
Work Schedule: 20-30 hours per week.
Work from Home Setup: A desktop/laptop, headset, reliable internet connection, and a quiet workspace.
English Proficiency: Impeccable grammar and exceptional writing skills.
Typing Speed: At least 50 words per minute (WPM).
Strong problem-solving skills: We work in a fast-paced environment. Candidates should have strong analytical and critical thinking skills.
Customer service excellence: Experience in delivering top-tier customer support, ensuring client satisfaction and retention.
Excellent time management skills: Ability to manage a variety of responsibilities simultaneously while remaining flexible to handle changing priorities.
Strong computer skills: Proficiency in Google Calendar, Microsoft Office, G Suite (Google Spreadsheets, Google Docs, Google Slides), Monday.com. Nice to have but not required: HubSpot, virtual telephony systems, Slack.
Positive mindset: Making the best out of any situation you find yourself in.
Experience:
Mandatory experience on e-commerce and shopify
At least 2 years in the BPO industry, with a strong focus on customer service.
Familiarity with ticketing platforms (e.g., Zendesk, Gorgias), softphone systems (e.g., Five9), and CRMs.
Proficiency in Google Spreadsheets and other organizational tools.
Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting executive-level staff.
Minimum of 3 years of consistent tenure in a previous employment position, showcasing reliability and dedication
Skills:
Strong problem-solving skills with a creative and adaptable approach to resolving issues.
Excellent attention to detail and the ability to identify and address overlooked problems.
Experience with inventory management is strongly preferred.
Collaborative team player with the ability to manage multiple tasks effectively.
