We are seeking a skilled and experienced Virtual Assistant to support our residential and commercial cleaning company. The ideal candidate will be proactive, organized, and have a proven track record of providing administrative, customer service, and sales support. With at least 3 years of experience as a virtual assistant, you will play a pivotal role in managing operations, customer relations, and staff coordination.
VA Will have to go on there own to reach out for example to real estate management companies and air bnb business homes
Key Responsibilities:
Interviewing and Hiring Cleaners:
Conduct initial screenings and interviews for potential cleaning staff.
Coordinate with hiring managers for follow-up interviews and final hiring decisions.
Ensure all staff credentials and documentation are up to date.
Booking Management (Koala Experience Required):
Efficiently manage bookings using Koala or similar scheduling software.
Assign cleaning jobs to the appropriate tea
Monitor and resolve any scheduling conflicts or issues.
Customer Support:
Serve as the primary point of contact for customer inquiries via phone,
Address customer concerns and resolve complaints professionally and promptly.
Ensure customer satisfaction by following up on feedback and service quality.
Sales Support:
Respond to potential client inquiries and convert leads into bookings.
Upsell additional cleaning services to existing customers.
Prepare quotes and proposals for commercial clients.
Administrative Tasks:
Maintain records of customer interactions, bookings, and staff schedules.
Prepare weekly and monthly reports on sales, bookings, and customer satisfaction.
Assist with invoicing, payment follow-ups, and other financial tasks as needed.
Requirements:
Minimum of 3 years of experience as a Virtual Assistant, preferably in the cleaning or service industry.
Proficiency in using Koala or similar booking software.
Strong experience in interviewing, hiring, and coordinating with cleaning staff.
Exceptional customer service and communication skills.
Proven ability to handle sales inquiries and convert leads into bookings.
Strong organizational skills with the ability to multitask effectively.
Proficiency in MS Office, Google Workspace, and other relevant tools.
Availability to work flexible hours as needed to support business operations.
Preferred Skills:
Experience working with residential and commercial cleaning businesses.
Familiarity with CRM systems and sales pipelines.
Knowledge of best practices in customer relationship management.
