JOB OVERVIEW

**Job Overview:**
We are seeking a highly organized and proactive Virtual Assistant to join our psychiatric-mental health practice. The ideal candidate will be responsible for managing a variety of administrative tasks to ensure seamless operations and exceptional patient care. This remote position requires excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
**Key Responsibilities:**
1. **Scheduling and Calendar Management:**
- Coordinate and manage multiple calendars using online platforms.
- Schedule and confirm patient appointments, ensuring efficient time management.
2. **Patient Communication:**
- Handle patient messages promptly and professionally.
- Conduct patient outreach via social media and follow up on potential patient contacts.
3. **Intake and Billing:**
- Collect and organize patient intake information.
- Gather co-pays and insurance information.
- Submit billing and process prior authorization requests.
- Write appeal letters as needed.
4. **Data Management:**
- Enter data accurately into Electronic Health Records (EHR) and maintain backup files.
- Order labs and follow up on post-visit tasks, including collecting medical records.
5. **Administrative Support:**
- Write employer and other letters for patients and providers, as required.
- Assist with patient follow-up and outreach activities.
6. **Social Media Management:**
- Develop and manage the practice's social media presence.
- Create engaging content and strategies to enhance patient engagement and outreach.
7. **Website Development:**
- Assist with website development and maintenance using WordPress (helpful but not required).

**Qualifications:**
- Proven experience as a virtual assistant or in a similar administrative role, preferably within a healthcare setting.
- Familiarity with EHR systems and medical billing procedures.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in using online scheduling and social media platforms.
- Familiar with MS Office and must have own access to MS Office software.
- Ability to handle HIPAA sensitive information with confidentiality.
- Experience in social media management and content creation.
- Experience with WordPress for website development is helpful.
- Self-motivated and able to work independently with minimal supervision.
