We are a small, dynamic, growing company specializing in healthcare marketing, medical education technology, meeting coordination, and event services. We’re seeking a skilled, detail-oriented Virtual Assistant/Admin Coordinator to support our growing team across multiple functions, from project coordination to social media, lead generation, and website updates.
This is a full-time position. 9 AM - 5 PM EST USA, Monday through Friday. This position requires a quiet, dedicated workspace with high-speed internet, Google Voice, ability to Zoom, etc.
Responsibilities:
Client & Team Coordination: supporting the sales, management, and marketing teams in day-to-day coordination.
Social Media & Website Updates: Managing social media platforms by posting content, engaging with followers, and ensuring our brand presence aligns with our marketing strategy. Posting content on our website as needed.
Lead Generation & Database Management: Maintaining client database, lead generation efforts, online research via Linkedin, Google, etc. and supporting sales outreach with targeted strategies for prospect engagement.
Administrative Support: Organizing team calendars, ordering supplies, ensuring event shipment coordination.
Office Supplies & Inventory: Overseeing supply orders and inventory management to ensure the team has the necessary materials and stock.
Requirements:
#1 Requirement–Organized & Detail-Oriented: Ability to multi-task, stay organized, and keep track of various projects and deadlines.
Technical Proficiency: Experience with Google Suite, Microsoft Office Suite (Excel, Word, PowerPoint).
Digital Skills: Familiarity with social media management and website updating tools. Basic understanding of lead generation practices and CRM platforms.
Strong Communication Skills: Excellent written and verbal communication, with a high standard of English grammar, proofreading, and business correspondence. This is extremely important as you’ll be using
Work Environment: Must have a quiet, dedicated home office space.
Adaptability & Teamwork: Ability to work effectively with a diverse team of developers, designers, and adapt to the changing needs of a growing business.
