Job Description: Virtual Assistant for Financial Services
Position Overview:
We are seeking a dedicated and detail-oriented Virtual Assistant (VA) to support a financial advisor and field manager’s office. The VA will be responsible for managing CRM software, handling client communications, and organizing calendars. Key tasks include maintaining client records, scheduling meetings, and reconciling personal and business expenses. This is a remote position with working hours from 11 am to 4 pm NY time, Monday through Thursday. The office observes all Jewish and U.S. legal holidays.
Key Responsibilities:
CRM Management (Redtail):
Maintain accurate and up-to-date client profiles, including contact information and service history.
Regularly update the CRM system to ensure data integrity.
Client Communication:
Reach out to clients, primarily financial professionals, at least once a month to offer services and identify needs.
Promote assistance services for life insurance, annuities, disability insurance, investments, retirement planning, and more.
Schedule consultations and follow-ups based on client requirements and manage the advisor’s calendar.
Appointment Management:
Coordinate and manage the advisor's calendar to avoid scheduling conflicts.
Confirm appointments 30 minutes prior with both the advisor and client.

Safety, Security, and Trust:
Adhere to confidentiality protocols to protect client and business information.
Use secure communication tools and implement role-based access to sensitive files.
Follow NDAs and industry standards for secure data management.
Personal and Business Expense Management:
Reconcile personal bank statements and keep accurate financial records.
Document and manage both personal and business expenses for thorough reporting.
Required Skills:
Proficiency with CRM systems (preferably Redtail) and client management.
Strong English communication skills, both written and verbal, with familiarity in U.S. business terminology.
Excellent organizational skills, with the ability to manage calendars and prioritize tasks effectively.
High attention to detail for accurate data entry and record-keeping.
Financial literacy and a solid understanding of financial services.
Ability to work independently and meet deadlines while maintaining a high level of trust and confidentiality.
Preferred Qualifications:
Experience as a virtual assistant in financial services.
Familiarity with life insurance, annuities, retirement planning, and investment services.

Implement NDAs to ensure confidentiality.
