Job Overview
We are seeking a detail-oriented and proactive Virtual Assistant to support our operations by auditing our CRM system, ensuring account accuracy, and performing essential follow-ups. This role requires an individual who is highly organized, tech-savvy, and skilled in customer relations to maintain quality control and contribute to operational efficiency.
Key Responsibilities
CRM Auditing and Maintenance
Regularly review and audit accounts in the CRM system to ensure all details are accurate and up to date.
Verify that all required documentation is properly uploaded and organized for each account.
Ensure proper product usage is recorded and matches service requirements.
Account Monitoring
Monitor accounts to confirm adequate time is being spent on services based on account needs.
Flag any discrepancies in account activity or service time for review by the operations team.
Ensure compliance with company standards for service quality and documentation.
Lost Inspection Leads Follow-Up
Identify and analyze lost inspection leads in the CRM.
Reach out to leads via phone or
Provide feedback and insights from lost leads to the sales and marketing teams for process improvement.
Product and Service Quality Checks
Review service history and product usage data to ensure alignment with client needs and company protocols.
Highlight any inconsistencies in product usage and coordinate with the appropriate teams for resolution.
Reporting
Prepare regular reports summarizing CRM audit findings, lost lead recoveries, and flagged accounts for the operations team.
Provide actionable recommendations to improve CRM accuracy and customer retention.
Collaboration
Work closely with the sales, operations, and service teams to ensure alignment and resolution of any account-related issues.
Communicate effectively with tea
Qualifications
Experience:
Minimum of 2 years of experience as a virtual assistant, CRM auditor, or in a related administrative role.
Familiarity with FieldRoutes Software a Major Plus!
Skills:
Exceptional attention to detail and organizational skills.
Strong verbal and written communication abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.
Comfortable with customer follow-up and recovery calls.

Preferred Qualifications
Familiarity with pest control, home services, or a related industry.

Work Schedule
Set Schedule Monday to Friday (Possible Weekends)
Must be responsive during core business hours.
Compensation
Competitive hourly rate, based on experience and qualifications.
