Their commitment to precision and personalized service ensures clients maximize their financial potential while maintaining compliance.

About the Role: The client’s tax planning business is seeking a highly organized, data-oriented Virtual Assistant with excellent English communication skills. The ideal candidate will assist with administrative tasks, client communication, scheduling, and CRM management to ensure seamless business operations.
Responsibilities:
Client Communication & Scheduling:
Acting as the primary point of contact for all client appointments
Join client calls and take detailed notes.
Manage follow-up tasks and ensure project completion.
Handle calendar management and scheduling for two planners.
Track client appointments (e.g., "call 1 of 4").
Send ZooUpgrade to see actual infoeting links if the automated system fails.
Provide appointment reminders and follow-ups for client homework.
Administrative & Data Management:
Perform CRM data entry and management (Maximizer CRM knowledge is trainable).
Manage Zoom account storage.
Proficiency in Outlook, Word, Excel, and PowerPoint.
Oversee office supplies and travel arrangements.
Assist with social media posting (potential responsibility).
This is a diverse role and requires exceptional time management and multitasking abilities.
Qualifications & Skills:
Strong organizational and data management skills.
Excellent English communication skills (written and verbal).
Adept at problem-solving, with a proven ability to quickly grasp issues and to adjust rapidly to changing priorities.
Expert ability to manage multiple projects at any given time, through all phases from inception to completion, as well as navigate through pre-determined and unforeseen challenges.
Keen attention to detail while always maintaining a view of the “bigger picture”.
Ability to work independently with a results-driven approach.
Tech-savvy with experience in CRM systems (Maximizer CRM a plus but not required).
Proficiency in Microsoft Word, Excel, and PowerPoint.
Comfortable with managing scheduling, follow-ups, and administrative coordination.
Experience in client communication and taking detailed notes is preferred.
Able to handle confidential matters and exercise good judgment and discretion with sensitive issues.
Technical Setup & Additional Information:
Client will set up VOIP system (e.g., RingCentral) for call routing.
Inside Out Hiring does not provide technical setup for calls (separate from receptionist services).
