We're looking for a proactive, savvy Virtual Assistant to join our team and help us take things to the next level.
The Role: We’re seeking a highly organized and intuitive Virtual Assistant who can anticipate needs, streamline our processes, and support our vibrant community. You’ll be an essential part of our operations, project management, and client experience, ensuring everything runs smoothly behind the scenes. This is not your typical VA role—we need someone who gets our vibe and can support our ambitious goals with enthusiasm and finesse.
What You’ll Do:
1. Project Management & Coordination: Manage various projects, events, and tasks using platforms like Trello, Convertkit, and Google Workspace. Ensure deadlines are met and nothing falls through the cracks.
2. Anticipate Needs: You’ll proactively identify what needs to be done before being asked, optimizing our systems and workflows to maximize efficiency.
3. Client Communication & Support: Serve as a primary point of contact for members, helping them navigate our programs, answer inquiries, and provide a warm, welcoming experience.
4. Event & Program Coordination: Assist with organizing Club VIVA events, roundtables, and masterminds, managing logistics and communications.

7. Research & Insights: Stay ahead by gathering industry insights, identifying potential collaborations, and suggesting ways we can amplify our reach.

- Has Project Management Experience: You’re confident with platforms like Trello and Google Workspace.
- Is Exceptionally Organized & Detail-Oriented: You thrive on keeping things running smoothly and take pride in catching details others might miss.

Preferred Qualifications:
- 3+ years of experience in a similar role, ideally supporting entrepreneurs or executives.
- Experience with Wix Studio, and social media platforms.
- Strong written and verbal communication skills.
- Comfortable with light design tasks in Canva or similar platforms.
- Based in a time zone that allows overlap with Pacific Time (California).
