JOB OVERVIEW

We are seeking a proactive and detail-oriented coordinator to manage and coordinate podcasting guest communication and recording schedule plans. This position will coordinate communicating and pitching guests to be on our podcast, scheduling the recordings, and following up with post production communications and social posts.

Key Responsibilities for Podcast Guest Pitching:

Research & Identification:
Identify relevant podcasts within specified niches and industries
Evaluate potential podcasts based on popularity and relevance

Outreach & Communication:
Modify pitches to personalize them to the specific guest and send outreach emails to podcast guest prospects
Follow up on initial outreach to secure booking confirmations

Coordination & Scheduling:
Coordinate and schedule podcast appearances, ensuring all details are confirmed
Maintain an organized calendar of booked podcast appearances and upcoming opportunities
Send reminders and preparatory materials to ensure readiness for each appearance.

Content Preparation:
Gather and provide any necessary materials to podcast hosts (e.g., bio, headshot, talking points).
Assist in developing talking points or outlines for podcast appearances if needed.

Database Management:
Maintain a comprehensive database of contacted podcasts, status updates, and outcomes.
Track metrics and feedback from podcast appearances to refine future outreach strategies.

Follow-Up:
Thank podcast hosts post-interview and nurture relationships for future opportunities.
Request and manage links to published episodes and share them appropriately.

Email
the social media posts to the guest for sharing
Coordinate the podcast publication schedule with our teams

Qualifications:
- Strong research skills, with a proven ability to identify high-value opportunities in niche industry spaces.
- Excellent written English, with an emphasis on clear, concise, and persuasive copywriting.
- Highly organized and detail-oriented; able to manage multiple tasks, deadlines, and priorities simultaneously.
- Experience in outreach, administrative coordination, or related roles that involve written communication and application management.
- Excellent in office and productivity tools such as Google Workspace (Docs, Sheets).
- Comfortable working independently and taking initiative to drive results with minimal supervision.
- Experience with Canva

Able to work business hours UTC-4 (EST/EDT New York, NY)

Approximately 10 hrs/week - 2 hours per day (8:00am EDT or 9:00am EDT start time)
