Job Description:

We are looking for a friendly, upbeat, and highly organized Virtual Assistant to help manage our online community, assist with file organization, and coordinate projects with other team members. This role is vital in ensuring our members feel supported, encouraged, and motivated while also keeping operations running smoothly behind the scenes.
The ideal candidate must have a heart of service, love taking care of others, and ensure that people have what they need to succeed. This role is best suited for someone who is extremely organized, detail-oriented, and particular about processes—someone who naturally thrives on keeping things in order and running efficiently.

Qualifications:

Must have: A minimum of 3 years of experience working in the online space (virtual assistance, online business management, community management, or similar).
Group moderation experience (Facebook groups, online coaching communities, or similar).
Experience working with an online coaching or course business (understanding of launches, member engagement, etc.).
Project coordination skills (keeping track of tasks, deadlines, and ensuring smooth collaboration).
File organization & administrative support (Google Drive, Dropbox, Airtable, or similar).
Experience facilitating group calls (Zoom, Google Meet, or other virtual platforms).
Customer success strategies (helping members stay engaged, supporting their progress, and ensuring member retention).

Bonus experience (a huge plus, but not required):
Graphic design & video editing for TikTok/social media.

Email
campaign & newsletter setup (System.io, ConvertKit, or similar platforms).

Key Responsibilities:

Virtual Assistance & Operations:

Email
Management: Sorting, filtering, and responding to emails related to community inquiries.
Administrative Support: Helping with file organization, data entry, and maintaining spreadsheets.
Project Coordination: Assisting in managing tasks, deadlines, and communication between team members.
Calendar Management: Scheduling community events, webinars, and engagement activities.
Content Support: Basic graphic design or video editing (if applicable).
Facilitating Group Calls: Hosting or managing community calls to ensure smooth participation and engagement.

Community & Engagement:
Group Moderation: Engaging with members, monitoring discussions, and ensuring a positive atmosphere.
Onboarding: Welcoming new members and guiding them through their first steps.
Event & Challenge Coordination: Organizing and overseeing community events and discussions.
Content Creation & Posting: Uplifting, motivational posts to keep the community engaged.
Customer Success & Retention: Ensuring members stay engaged, providing proactive support, and helping them achieve results.
Reducing Membership Churn: Identifying areas where members may struggle, offering solutions, and creating touchpoints to keep them committed.

Other duties as assigned

In complete transparency, we are in the early stages of our journey and are just starting out. Initially, we are looking to bring someone on part-time, with the goal of transitioning to a full-time role as our business expands. I am currently balancing a full-time job alongside launching this online business, which is why your role is vital in assisting with daily tasks, allowing me to allocate more time to other responsibilities.
