About the Role:
I am an architect, developer, and property manager based in San Diego, seeking a dedicated assistant to help me manage my professional and personal responsibilities. This all-encompassing role is perfect for someone who is eager to grow, enjoys tackling diverse tasks, and values a collaborative working relationship. I am looking for loyalty and a long term relationship where we grow together. My goal would be that eventually you will be hiring and organizing people on your team. You will be treated with the upmost respect and will be a member of my team. With my employees the only stupid question is the question that is never asked. Cooperation is king.
Key Responsibilities:
Property Management Support:
Utilize Appfolio to organize leases, process insurance updates, and coordinate property-related tasks.
Cleaning up existing Appfolio database, accounts, contact information etc.
Notifying me of any timely issues that require my attention.
Coordinating and creating annual preventative maintenance schedules
Schedule and communicate with our in-house maintenance technician to ensure timely repairs and upkeep.
Project Assistance:
Assist with the bidding process for a new project, including organizing proposals, conducting comparisons, and managing contracts.
Maintain project budgets and track expenditures throughout the project lifecycle.
Administrative Support:
Manage to-do lists and assist in prioritizing daily tasks.
Coordinate
Personal Scheduling (limited):
Help coordinate personal appointments and manage my schedule outside of work
General Support:
Step in where needed, adapting to varying workloads—some days may require little work, while others may be full and fast-paced.
What I'm Looking For:
Skills & Experience:
Familiarity with Appfolio or a willingness to learn quickly.
Strong organizational and time-management skills.
Proficiency in Excel, Google Sheets, and Microsoft Word.
Experience using ChatGPT or similar AI platforms is ideal.
Ability to handle multiple tasks and prioritize effectively.
Ability to run proforma models is a bonus.
