JOB OVERVIEW

Daily Tasks:

Check Emails:
Review and prioritize emails.
Respond to urgent messages promptly.
Flag emails that require your attention and report any billing matters to BMC chat
Calendar Management:
Update and organize the calendar for the day.
Set reminders for upcoming meetings and deadlines.
Communicate any schedule changes to cleaners, clients, and staff ASAP
To-Do List:
Review and update the to-do list.
Prioritize tasks based on urgency and importance.
Allocate time slots for specific activities.
II. Administrative Support:
Communication Management:
Respond to inquiries via email or other designated channels (SPEED IS KING)
Draft and proofread emails texts and messages, as needed.
Filter and manage incoming/outgoing calls as needed.
Document Management:
Organize and maintain digital files.
Create, edit, and format documents as required.
Ensure version control and proper labeling.
Data Entry:
Input data into relevant databases or systems before shift ends.
Double-check accuracy and completeness of entered information.
Generate reports as needed.
III. Task Coordination:
Meeting Preparation:
Compile and distribute meeting agendas.
Collect and distribute necessary documents.
Confirm attendance and set up virtual meeting rooms.
Follow-Up Tasks:
Send follow-up emails and texts after meetings.
Track action items and deadlines.
Ensure completion of assigned tasks.
Lead Management:
Update the lead management system regularly.
Follow up with potential leads as per the established process.
Document interactions and update lead status.
IV. Afternoon Tasks:
Task Updates:
Provide status updates on ongoing projects.
Flag any potential issues or delays.
Seek clarification on ambiguous tasks.
Abandoned Leads:
F/Ul a minimum of 25 abandoned leads daily.
Document outcomes and update lead management system.
Provide feedback on common reasons for abandonment.
Social Media Management:
Post on social media platforms 3 times per week in stories and on feed.
Schedule posts in advance if applicable.
Engage with followers and respond to comments.
Canva Content Editing:
Edit content in Canva as required.
Ensure that visuals align with brand guidelines.
Collaborate with relevant teaUpgrade to see actual infombers for input.
V. Communication with Employer:
Daily Summary:
Send a daily summary of completed tasks and achievements.
Highlight any challenges or concerns.
Send us a message on BMC chat when you clock in/ out
Clarification Seeker:
Seek clarification on ambiguous tasks or instructions.
Share ideas for process improvement if identified.
