Job Title: Virtual Assistant - QuickBooks, Inventory Management, and Purchasing Specialist

Job Summary

We are looking for a highly organized and detail-oriented Virtual Assistant skilled in QuickBooks, inventory management, and purchasing. This role requires a proactive, self-sufficient individual who excels at accuracy, problem-solving, and follow-through. If you thrive in a structured, fast-paced environment and enjoy streamlining processes, this position is for you.

Basic Functions and Key Responsibilities

Inventory and Purchasing Support:
• Review and troubleshoot weekly inventory counts for accuracy and consistency.
• Monitor Blanket Purchase Orders (POs) and ensure timely updates.
• Order Maintenance, Repair, and Operations (MRO) items as needed.
• Effectively monitor inventory levels in QuickBooks to avoid shortages or overstocking.
• Enter build assemblies into QuickBooks to maintain accurate inventory records.

QuickBooks Management:
• Record shipments into QuickBooks and email invoices to customers.
• Follow up with customers on Accounts Receivable to maintain cash flow.
• Follow up with credit references via phone

Administrative Support:
• Provide administrative and business support to the President and other members of the Executive team.
• Assist with special projects as assigned.

Software and Communication Skills:
• Expert-level computer skills, including Excel, MS Office, and the ability to learn new software.
• Excellent written and oral communication skills.

Qualifications

• Proven experience with QuickBooks in accounting, inventory, and purchasing functions.
• Strong organizational skills and attention to detail.
• Ability to work independently and meet deadlines.
• Excellent time management and problem-solving abilities.
• High proficiency in Excel and other business software tools.
