As we continue to scale, we are looking for a talented Virtual Assistant to support us and help implement efficiency and organization in a fast-paced environment.

Position Overview:
As the Virtual Assistant, you will be a key player in ensuring our administrative and back-office tasks are completed daily and weekly. This role requires a proactive and adaptable individual ready to handle various responsibilities, including managing calendars, logging daily payments, sending payment reminders, creating and maintaining maintenance logs, receiving and making calls on the company’s behalf, and more. The right candidate will possess a “startup mindset”—enthusiastic, flexible, and eager to tackle new challenges head-on.

Responsibilities

Email
Management: Respond promptly to customer emails, ensuring timely and professional communication.
Rental Agreement Creation: Prepare and send rental and renewal agreements, ensuring all documentation is accurate and complete.
Payment Tracking: Monitor customer payments, log transactions, and follow up on outstanding balances.
Signature and Payment Requests: Send reminders and requests for signatures and payments to customers, helping ensure timely compliance.

Social Media Management: Post updates and engage with followers on social media platforms.

Email
Campaigns: Create and manage email marketing campaigns to keep customers informed and engaged.

Data Entry and Management: Maintain accurate and organized records, ensuring data integrity across platforms.
Customer Service Assistance: Provide exceptional support to customers by addressing inquiries and concerns.
General Administrative Support: Perform other administrative duties as assigned to support the company’s goals.

Skills & Qualifications:
2+ years of experience as an Executive Assistant or in a similar administrative role, preferably in a fast-paced environment.
Exceptional organizational skills with strong attention to detail.
Ability to multitask and prioritize in a dynamic environment.
Excellent written and verbal communication skills.
High level of discretion and confidentiality in handling sensitive matters.
Proficiency in Microsoft Office Suite, Google Workspace, CRM and project management tools (Go High Level).(Asana)
Ability to take initiative and work independently.
A positive attitude, adaptability, and a problem-solving mindset.
Experience in a startup or entrepreneurial environment is a plus.
