JOB OVERVIEW

We are a dynamic real estate and finance firm specializing in a range of services, including transaction coordination, loan processing, and fix-and-flip projects. We’re seeking a proactive and adaptable Virtual Assistant who can wear multiple hats and support our diverse needs. Key Responsibilities:

Transaction Coordination and Admin Support:

Manage real estate transactions from start to finish, ensuring all documentation and deadlines are met.
Provide administrative support to real estate agents, including scheduling, correspondence, and record-keeping.
Coordinate with clients, agents, and vendors to ensure smooth transaction processes.
Loan Processing:

Assist with private processing, including gathering necessary documentation, managing application forms, and liaising with financial institutions.
Support the preparation and review of loan files to ensure completeness and accuracy.
Fix-and-Flip Projects:

Coordinate with townships to obtain necessary permits and ensure compliance with local regulations.
Assist in managing project timelines, budgets, and communication with contractors and vendors.
Personal Tasks:

Track mileage and activity logs for personal and business use.
Provide occasional assistance with accounting tasks, including expense tracking and invoice management.
Ad-Hoc Tasks:

Take on various new tasks as they arise, demonstrating flexibility and a willingness to learn.
Assist with research, document preparation, and other administrative duties as needed.
Qualifications:

Proven experience in transaction coordination and administrative support, preferably within the real estate industry.
Familiarity with private and conventional loan processing procedures.
Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Experience with fix-and-flip projects and knowledge of permit processes is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Excellent communication skills, both written and verbal.
High level of accuracy and attention to detail.
Ability to work independently and take initiative in a remote environment.
