supporting the smooth and efficient handling of real estate transactions. We are currently seeking
a detail-oriented and proactive Transaction Coordinator to oversee the administrative aspects of
our real estate transactions, ensuring everything runs smoothly from contract ratification through
to closing.
Position Overview:
The Transaction Coordinator will be responsible for managing the administrative components of
real estate transactions. From contract ratification to closing, you will play a key role in ensuring
all processes are streamlined, deadlines are met, and documentation is handled accurately. This
role requires excellent organizational skills, attention to detail, and a proactive approach to
managing communication and coordination between all parties involved. You will be working
closely with agents, lenders, title companies, and other parties to ensure a smooth and positive
transaction experience.
Key Responsibilities:
Contract & Documentation Management:
- Draft and prepare offers for buyers, ensuring that all terms are accurately reflected and
- Submitting offers in a timely manner.
- Circulate offers received on listings for counter-offers and/or ratification.
- Submit/upload ratified contracts to Business Tracker for tracking and reporting.
- Rectify any contract errors, missing documents, or required disclosures, ensuring all
paperwork is complete and compliant.
- Place all deadlines and contingency dates on the calendar and monitor them to ensure
timely compliance and action.
Communication & Coordination:
- Serve as the primary liaison between buyers, sellers, agents, lenders, and title companies
to ensure seamless communication and coordination throughout the transaction.
- Send milestone
reminders, and “Prepare for Closing” notifications.
- Ensure consistent communication with all parties involved in the transaction, providing
status updates and necessary documents.
- Circulate contract documents and necessary instructions to relevant parties as needed
(e.g., signed contracts, notices, amendments, addenda).
- Administer post-transaction follow-up?
after the transaction is completed.
Tracking & Monitoring Progress:
- Track and maintain progress of all active contracts and action items, ensuring all
deadlines are met and necessary steps are completed on time.
- Schedule and coordinate closing/settlement dates, ensuring that all parties are informed of
the date, time, and location.
- Ensure that the title company has the agent's wiring instructions for closing to prevent
delays.
Client Support:
? Provide white-glove service to buyers, answering their questions, offering guidance, and
ensuring they feel informed and supported at every step of the transaction.
? Ensure that buyers have all the necessary information regarding their transaction, from
offer acceptance to the closing process.
Qualifications:
- Previous experience as a Transaction Coordinator or in a real estate-related administrative
role preferred.
- Strong knowledge of real estate contracts, documents, and processes.
- Experience drafting and submitting real estate offers and handling the related paperwork.
- Excellent organizational skills and attention to detail, with the ability to handle multiple
transactions simultaneously.
- Ability to communicate effectively and professionally with clients, agents, lenders,
and title companies.
- Proficient in using real estate transaction management software and tools (e.g., Business
Tracker, DocuSign, etc.).
- Ability to work independently and manage tasks remotely with minimal supervision.
- High level of professionalism, integrity, and confidentiality.
- Exceptional customer service skills, with a focus on delivering a positive and seamless
client experience.
